Missed cleanings cost more than operators think

3 min read | June 15

Machine cleaning is often undervalued because the consequences are rarely immediate.

A coffee machine does not usually fail after one missed cleaning, which makes it easy for operators and staff to underestimate the importance of the routine.

And why should they? The machine still works. Drinks are still served. The location looks operational. But inside the machine, coffee oils, milk residue, product particles, and mineral deposits start to build up.

Industry maintenance guidance shows that even after 24 hours, residue can become harder to remove and may affect both drink taste and machine performance.

For coffee operators, this is where cleaning becomes a business issue.

In one large coffee machine deployment, Vendon cleaning data showed 256 completed cleanings and 343 missed cleanings. That means around 57% of required cleanings were not completed.

This is not just a hygiene issue. It is a visibility issue.

Without data, operators often discover the problem too late: when coffee quality drops, a customer complains, or a technician is sent to fix an issue that started with poor cleaning habits.

Cleaning and maintenance: where the connection starts

Cleaning and maintenance are not the same thing.

Cleaning is a regular operational task. It keeps milk systems, coffee circuits, brewing units, and other machine parts in proper working condition.

Maintenance is technical service. It includes inspections, repairs, worn parts, and planned service work.

But the two are closely connected. When cleaning is skipped repeatedly, residue and clogging create extra strain inside the machine.

For operators, that means more downtime, more emergency visits, more technician time, and higher maintenance pressure across the fleet.

Vendon Cloud’s Cleaning Report helps operators see these risks earlier. If a machine has repeated missed cleanings, the first step may not be maintenance. It may be staff follow up, training, or a better cleaning schedule.

Cleaning and quality: why premium coffee needs discipline

Premium coffee experiences are becoming more important for operators.

A recent article by Perfect Daily Grind highlighted several notable changes in Germany’s coffee habits pointing to a clear shift: customers are becoming more selective, and expectations around freshness, convenience, and quality are rising.

We explored what this means for operators in our article What Germany’s changing coffee habits can teach operators

The takeaway is simple. Operators do not only need to serve better coffee. They need to serve it consistently across every location.

Good beans, recipes, and machine settings matter. But they cannot compensate for a machine that is not cleaned properly.

Coffee oils can affect flavour. Milk residue can affect taste, frothing performance, and hygiene. Mineral buildup can affect pressure, temperature stability, and machine performance.

That is why cleaning records matter. They help operators verify whether the daily routines behind a good cup of coffee are actually being followed.

How Vendon Cloud’s Cleaning Report helps

Vendon Cloud’s Cleaning Report gives operators a clear overview of cleaning activity across connected coffee machines.

It shows which machines have completed cleaning and which machines have missed required cleaning events. It can also show machines that were offline during the selected period and machines that were used after the last cleaning of the day.

From assumptions to action

The main value of the Cleaning Report is not only the record itself.

It is what operators can do with it.

Instead of assuming that cleaning is done, operators can check the data. Instead of sending technicians without context, service teams can first see whether cleaning routines were followed. Instead of discovering human errors through complaints, operators can find repeated gaps early.

This supports better daily habits across locations.
